What not to do before uploading your QuickBooks entity file to Jet Convert:
- Do not start a Xero Organisation unless you are a Xero Partner with approval to convert into Existing Xero Organisations. If you have already started a Xero subscription and should not have click here for instruction on how to proceed.
- Do not change any account types in QuickBooks prior to conversion.
BEFORE you upload your QuickBooks entity to Jet Convert:
ESSENTIAL File Preparation:
ATTENTION: Please note if the Essential File Preparation is not completed prior to upload a reconversion charge may apply.
- Remove all users who have access to the file excluding the Admin User; change the Admin User name to Admin
- If your source file has a .QBB extension please send your administrator password to [email protected] with the Migration ID in the subject line

- Check what data will and won't convert against your specific needs
- Check how your bank accounts (Cash and Cash Equivalent)and credit cards are set up in Quickbooks - more information
- If you have used Undeposited Funds for Sales ensure the source file and mapping are set up as a Bank (Cash and Cash Equivalent) - To ensure this links to the contact history.
*WARNING: Some banks require credit cards to be set up as bank accounts in Xero in order to connect bank feeds. See here for more information.
- Ensure that there are no duplicate names in the Chart of Accounts eg. 1234 - Motor Vehicle Expenses and 1235 - Motor Vehicle Expenses - As this description is duplicate please add a number or character to make them unique.
- Reconcile Accounts Payable using the AP Unpaid Bills Detail report
- Reconcile Accounts Receivable using the Customer Balance Detail report
- Ensure that Accounts Receivable, Accounts Payable and GST accounts do not have Account type as Bank Account.
- Ensure all invoices/bills and credit notes are still outstanding
- Apply all credit notes unless current.
OPTIONAL File Preparation:
- Check that the balances in all bank accounts (Cash and Cash Equivalent) and credit cards match the bank statements as of the last reconciliation date
- Confirm that the AR/AP reconciliation report matches the balance in the General Ledger
- Ensure all bank transactions you want converted are coded
- Run verify & rebuild on the file before submitting for conversion
- Ensure all clearing accounts are reconciled to NIL
- Run QuickBooks File Doctor on the file you want to convert.
- Edit Chart of Account numbers to be a maximum of 10 digits
- Edit Chart of Account name. The Header and chart of account name cannot exceed 200 characters

The conversion will take up to 5 busines days for online files from when you have:
- Selected your conversion service
- Provided us with the QuickBooks file password
- Advised as to how you want the bank accounts (Cash and Cash Equivalent) to be treated in Xero (premium packages only). *
